Enquiry and quote follow-up

Dedicated follow-up for your inbound enquiries and quotes

Your web enquiries have arrived and your quotes have gone out. Give the follow-up a named owner. Cape Solutions provides one named, full-time person in South Africa who answers your calls, books your appointments and follows up your enquiries during UK business hours, for a flat monthly fee. They work in your own CRM and pass decisions back to your team. This suits businesses with enough daytime enquiry and quote follow-up to fill a person's day.

One-off £1,500 setup per seat. Free replacement guarantee if your person isn't the right fit. No long-term lock-in.

Who This Is For

Built for businesses like yours

You have an office team, incoming enquiries and quotes awaiting answers, but chasing them competes with delivering the work already booked. This service is for businesses with enough daytime enquiries and follow-up to fill one person's day. Before adding a seat, look at the work you can actually give that person: returning enquiry calls, checking issued quotes, asking agreed questions, updating your own CRM and booking the next visit or conversation. If that does not make a full-time role, a dedicated person is the wrong purchase.

The Challenge

Sound familiar?

A web enquiry lands while your team is dealing with a customer. Someone means to call back, but nobody has been given the follow-up. A quote goes out, then sits without a note showing whether the customer has read it, needs an answer or wants to arrange a visit. When you review it, the first job is working out what happened last. If this describes your office, the gap is ownership of the next action. You need someone to contact the people who have already enquired, record what they say and bring questions requiring your judgement back to you.

What You Get

Everything your team needs

01

Callbacks for enquiries already received

Your person picks up web and phone enquiries and calls back during UK business hours. Callback standards are agreed with you during scoping, alongside your priorities for new enquiries and outstanding quotes.

02

Follow-up on issued quotes

They contact customers who have received a quote, ask where it stands and record the answer. A request that needs your decision comes back to your team with the customer's question attached.

03

Agree qualification during scoping

You decide which enquiries fit and what needs asking. Your role can be set up to qualify incoming enquiries, with the questions and criteria agreed with you during scoping. Your person records answers in your own CRM before handing the next step to your team.

04

Notes in your own CRM

The reason for contact, action taken, outcome and next step go into your own CRM. The record gives the colleague taking over the enquiry the context of the conversation already held.

05

Booked work with a handover

When a visit, survey or call is agreed, your person books it in your diary using your booking rules. They hand over the enquiry details and agreed next step for your team to act on.

06

Decisions kept with your team

Your person follows your escalation rules for enquiry and quote questions. You direct the day's priorities and provide product feedback; Cape handles the employment side and supports performance.

Working the enquiry

Start with what the customer has already told you

The follow-up starts with an enquiry you have received or a quote you have issued. Give your person access to that history, your qualification criteria and your booking rules. Agree during scoping how callbacks should be handled during UK business hours, what needs recording and which questions must come back to you.

For quote chasing, the useful question is where the customer's decision stands. Your person contacts the recipient, records the answer and the next step, and passes anything needing your judgement back to you. Set the limits before they start: which questions can they answer from your information, and which need the colleague who prepared the quote? Do not leave that distinction for the person to guess during a call.

Check the enquiry or quote history

Provide the original enquiry, the issued quote and previous contact notes. Use that record to brief your person on what the customer has already asked and what your team has already said.

Agree qualifying questions during scoping

Define the questions that establish whether an incoming enquiry fits your work. Your role can be set up to qualify enquiries against criteria agreed with you during scoping; you decide what qualifies and what needs referring back.

Record the next action

Your person logs the customer's answer and the next step in your own CRM.

From conversation to booking

Make the handover useful to the person doing the work

A booking needs context as well as a diary slot. When your customer agrees to a visit, survey or call, your person books it in your diary and hands over a note on the enquiry and what has been agreed. The purpose is to give your team something they can act on without calling the customer again to collect the same information. Agree what that note must contain before follow-up begins.

Put the appointment in your diary

Your person books the agreed visit, survey or call using the rules you supply. Define which diary to use and what your team needs to know about the enquiry when accepting that booking.

Leave the conversation in your own CRM

Record what the customer wanted, what was done, the outcome and what happens next. An unanswered callback and a customer agreeing to a visit should be recorded as different outcomes.

Hand back questions needing your judgement

Your person passes quote questions requiring a decision to your team. Tell them who should receive these questions and what information to include, so the handover follows your escalation rules.

Where we work

Are you UK-based?

Your person works from our office in Cape Town, South Africa, not from the UK. You have one named, full-time person dedicated to your business, working as part of our supervised office team.

South Africa uses SAST: one hour ahead of the UK in British Summer Time and two hours ahead in winter. The time difference is small, but you still need to agree a fixed UK-hours schedule with us up front. Cover is during UK business hours only.

Load-shedding is a real issue in South Africa: the national grid has struggled with scheduled power cuts. Our office has backup power and redundant connectivity as standard. Ask us how we keep the office powered and connected during a cut before you decide.

Your daily priorities

You direct the day's work; we handle recruitment, training, HR, payroll and performance support.

Native English speakers

The professionals we place speak English natively in a neutral, easy-to-follow accent.

Your systems and access

Your person works inside your CRM, ATS, help desk, dialler and approved tools using access you control, keeping operational data in your existing environment.

Cost and fit

Is there enough follow-up to justify a full-time person?

There's a one-off £1,500 setup fee that covers recruitment, vetting and training, then a monthly seat fee of £1,200–£1,600 per person depending on the role. That fee is all-inclusive — salary, HR, payroll, equipment and workspace — so there are no hidden employment costs on top. Where you land within the range depends on the role, seniority and hours you need, which is what we'll pin down on a short call.

Cape's published salary guide gives an indicative UK annual base salary of £20,000–£24,000 for a customer service agent, the nearest role it lists. That is about £1,670 to £2,000 a month, above Cape's all-inclusive monthly fee of £1,200–£1,600. The comparison makes sense when you have enough daytime enquiries and quote follow-up to fill one person's day. It does not justify a full-time seat for a lightly used enquiry inbox.

Too little daytime work

Published prices read in October 2026 show entry plans for pay-per-call answering from a shared team at about £15 to £115 a month. If you do not have enough daytime work to fill one person's day, pay-per-call answering is cheaper than a dedicated Cape seat.

There is a free replacement guarantee if your person is not the right fit, and flexible contracts with no long-term lock-in.

Our Process

How it works

01

Understand

We discuss your incoming enquiries, issued quotes and where follow-up is waiting. Bring a picture of the daytime work available, your current contact notes and the decisions your team needs to keep, so we can scope the role around your actual enquiries.

02

Tailor

We agree the role, call standards, escalation rules and reporting with you during scoping. Define the qualification questions, access to your own CRM, booking rules and UK-hours schedule, including who receives quote questions that need your decision.

03

Train

We train your person on your tools, enquiry handling and escalation rules using real scenarios. Supply your qualification criteria, quote history and product information, and explain the handover your team needs when a customer agrees to a visit or call.

04

Deploy

Your person starts handling enquiries, following up issued quotes and recording next steps. We review performance during ramp; you direct the work and provide product feedback, while Cape supports the person, workplace and employment side.

Why Outsource

Give enquiry follow-up an owner in your team

If follow-up is currently a spare-time task, decide whether it needs a full-time role. A named person can take on callbacks, quote chasing and booking as their assigned work. You still direct priorities and make the decisions that belong with your business. Cape handles recruitment, training, HR and payroll and supports performance.

Enquiry handling in a client's own words

“Since then, their role has grown significantly — Cape Solutions now manages our inbound calls, books servicing appointments, handles new garage door enquiries, and assists with scheduling.” — Harry, Doormatic
